Bulk cleanup of historical data
Using filters and bulk actions, the team sorted completed jobs into the correct yearly boards. This quickly reduced clutter and made the main board easier to manage.

Automation for ongoing archiving
To keep the system organized moving forward, automations were set to trigger when a job reaches completion:

  • monday.com copies or moves it to the correct yearly board
  • the team can then archive it from the main board

This keeps the system clean without requiring constant manual cleanup.

Creating views instead of additional boards
Rather than building separate boards for finance and post-completion workflows, the Simpleday team created filtered views within the same board. This gives each team access to the information relevant to their role without breaking apart the workflow.

Validating reporting across sub-items
Because Weygand relies heavily on sub-items for job components and pricing, it was important to confirm that dashboards and reporting could pull from both parent items and sub-items.

Workspace cleanup and simplification
The team also removed unused boards, deleted outdated dashboards, and reorganized unnecessary structures into clear folders. As a result, the workspace became easier to navigate and use.
