My Perfect Routing Using monday.com
I’ve broken down my routine into several sections to make it easier for you to follow:
Step 1: Start with Email
Before going to monday.com, I always begin my day by checking my email because it’s important to make sure that I’m leaving no urgent issues behind. I scan my inbox for any messages that require immediate action, especially those that can be handled in under three minutes. If I find any, I reply to them quickly and archive them. This clears up mental space and helps me stay focused.
For the emails that need more attention, I don’t deal with them right away. Instead, I turn them into tasks on monday. It helps me keep track of everything that needs my attention. Whether the task is small or a larger project, I note it down in my task manager, so I don’t forget about it.
Step 2: Organize and Review Tasks on monday.com
Once my inbox is clear, I move on to my next step: reviewing my tasks. Monday.com is my central hub for everything, and it’s where I organize my to-dos.
In my monday taskboard, we use a system called “Batman and Robin.” If you’ve ever watched the old Batman cartoons, you know Batman is the one in charge, while Robin is the one who actually does the work.
In the same way, Batman is responsible for overseeing tasks, while Robin is the one who gets them done. Labeling this way helps keep roles clear and makes task assignments easier.
Step 3: Handle the “Batman” Tasks
The first thing I do is look at my “Batman” tasks. These are the tasks that I don’t do but oversee. For example, I might need to review a template design, send it to a client, or pass the feedback to a team member.
For better understanding, I’ve labeled these tasks as “Batman Review” that shows me all the items I need to check or approve. I go through these tasks, respond to quick questions, approve completed work, and delegate any follow-up actions. These tasks usually don’t take much time, but they are essential to moving the work forward.
Step 4: Focus on the “Robin” Tasks
Once the “Batman” tasks are sorted, I turn my attention to the items labeled as “Robin,” which are the tasks I need to complete myself. So, I look over everything assigned to me and prioritize what needs to get done today. If there’s something that can wait, I move it to another day.
Sometimes, I notice that I’ve added tasks that are more like ideas, things I want to remember but not necessarily do right now. I’ve created a separate group on monday just for these ideas, so I can easily drop them in when they come to me. This helps keep my “Robin” tasks clean and focused on actual work.
Once I’ve identified which “Robin” tasks need my attention, I plan out my day. I use my calendar to schedule time for each task. This is important because without dedicated time, I can easily get distracted by emails or random thoughts throughout the day.
Step 5: Check the Dashboard
Before I start my work, I always check my monday dashboard. This gives me a high-level view of everything happening in the company. I can see metrics like team members’ time tracking, client stats, revenue, and other key performance indicators. It’s a quick overview of how things are going and whether we are ahead or behind the schedule.
Once I’ve cleared my inbox, organized my tasks, and scheduled my day, I feel ready to take on anything that comes my way. Of course, things won’t always go according to plan, and unexpected tasks or emergencies may pop up. But with monday.com, I can quickly reassess and adjust my priorities.
