Leads Management (CRM) in Minutes on monday.com in 2023

In today’s competitive market, having a solid process for managing leads and understanding their status is vital if you want your business to grow. If are not on top of managing those leads, they can easily be lost and that is literally throwing away money that could have gone to your business.

One of the most common use cases that I see is companies wanted to set up a CRM using monday.com. While there are templates and the monday.com sales CRM, if you would like to set this up from scratch, here is now you can do it in a matter of minutes.

Understanding a dashboard in monday.com

A monday.com dashboard can become place where you can see all of the important KPI’s of your business development efforts in one place. While creating the dashboard is the last step of setting up a CRM in monday.com, I will show you some valuable insights you will be able to always have at your finger tips.

There is an overview table where we can see the overall KPIs and metrics related to your business development.

You can see that there is a pie chart which shows the deals per account manager. There’s an option named “Total deals stages” that indicates the different stages in the deals, such as “Negotiation” and “Create Contact.”

The option “Total deals won this month” shows which deals you managed to crack in a particular month.

The board also keeps track of important financial data. It shows the total contract value, indicating how much revenue those deals will generate. And it breaks this down by individual account managers.

Having all this data in one place makes it easy to spot opportunities. And the visual layout helps client discussions go smoother too.

Steps for Creating the Leads Management on monday.com

Alright, enough overview. Let’s jump in and create a lead management system! Use the existing columns as templates and then tailor them to your specific needs. Make it your own, so you can grow your business exactly how you want.

Step 1

Open the agency database board where Excel files of different companies are provided. Press “Add to Leads” to add leads to the lead board. I have added “Advanced Home Care Services Inc.” to the leads board.

Step 2

You need to go to the “Leads” board to see the added leads on this board. For example, it’s “Advanced Home Care Services Inc.” in my case.

In the “Leads” board, you can edit/add contact information and upgrade the stages of the process, such as “Not started,” “Working on it,” etc, by clicking on the stages name.

Step 3

By clicking on the “+” icon beside the leads on the “Lead” board, you can start an activity.

Step 4

Select “Add activity” to schedule a meeting with your contact.

A list of options pops up and you can choose “Meeting”. An email compose box opens where you can type a short message and hit “add”.

The meeting appears in the “Emails & Activities” column. You can see the event details and edit or delete it from there.

Step 5

Go to the Activities board to view your full calendar and see the new meeting listed there.

If the meeting goes well and your contact wants to move forward, go back to the Leads board. Select the lead and click “Edit labels”. Here you can update their status from the dropdown.

I changed the stage from “Initial Contact” to “Qualified Lead”, indicating they’re ready to progress to the next step.

Step 6

Select “Deals” in the side menu.

You’ll see the list of all your leads. The screenshot below shows “Advanced Home Care Services Inc.” because I flagged it as a qualified opportunity.

Step 7

If you close a deal with one of your leads, simply update their stage to “Won”.

I’ve marked “Advanced Home Care Services Inc.” as won, so now it populates the “Closed Won” column.

Step 8

Finally, head back to the “Agency Database”. Here you can view the status of all your clients, prospects, and leads in one spreadsheet-like view.
